Terms of Service

1. Agreement to Terms

By accessing or using the Ops Intel platform ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service.

These Terms constitute a legally binding agreement between you ("User", "you") and Ops Intel ("we", "us", "our"), operated from England.

2. Description of Service

Ops Intel writes AI compliance frameworks for small and medium businesses worldwide. Services include AI compliance frameworks and AI Policy documents covering the UK, EU, US, Canada, the Middle East, the Far East and Australasia. Optional additional services, available on request, include AI visibility work (Generative Engine Optimisation and Marketing Intelligence Reports) and AI team automation services, together with AI-powered platform tools including an AI Receptionist, Social Media Scheduler, Lead Prospecting, and Workflow Builder. Services are provided on a subscription or one-off basis as agreed at the time of purchase.

3. Account Registration

To use the Service you must create an account. You agree to:

  • Provide accurate and complete information
  • Maintain the security of your account credentials
  • Notify us promptly of any unauthorised access to your account
  • Take responsibility for all activity that occurs under your account

4. Subscription and Billing

The Service is offered on a free trial, one-off, and paid subscription basis. By purchasing:

  • You authorise us to charge your payment method on a recurring basis (subscriptions) or at the point of purchase (one-off services)
  • Subscriptions auto-renew unless cancelled before the renewal date
  • All fees are in GBP (£) and are non-refundable except where required by law or as set out below
  • We reserve the right to change pricing with 30 days' notice

30-Day Satisfaction Guarantee. If you are not satisfied with the results delivered in your first 30 days of a subscription plan, you may request a full refund by contacting us at hello@opsintel.io within 30 days of your first payment. This guarantee applies to Your AI Team subscription plans. It does not apply to one-off services (AI Policy documents, Marketing Intelligence Reports) or to annual compliance frameworks once delivery has commenced.

Payment processing is handled by Stripe. Your payment details are governed by Stripe's terms.

5. Acceptable Use

You agree not to use the Service to:

  • Send spam, unsolicited messages, or harassing communications
  • Violate any applicable law or regulation, including anti-spam laws (PECR, CAN-SPAM)
  • Infringe the intellectual property rights of any third party
  • Introduce malware, viruses, or other malicious code
  • Attempt to gain unauthorised access to any part of the Service
  • Reverse engineer, decompile, or attempt to extract the source code of the Service
  • Use the Service to process sensitive personal data without appropriate safeguards

6. Your Data

You retain ownership of all data you input into the Service. By using the Service, you grant us a limited licence to process your data solely to provide the Service. We will not sell your data or use it for purposes other than operating and improving the platform. See our Privacy Policy for full details.

6A. Data You Enter About Other People

If your framework comes with a compliance dashboard, you may enter personal data about your staff (names, job titles, work email addresses, when they signed your AI policy and were trained) and in incident notes. For that data you are the controller and we are your processor, and this section is the contract Article 28 of the UK GDPR requires between us. It applies in the same way under the EU GDPR.

  • What we do with it: we process it only to run your dashboard and keep your documents current, and only as you instruct us through the dashboard or in writing. If we believe an instruction breaks data protection law, we will tell you.
  • Who sees it: only people working for Ops Intel who need to in order to provide the service, each bound by a duty of confidentiality.
  • How it is protected: the dashboard opens only with your private link and a one-time code emailed to the address you bought with; all traffic is encrypted in transit. It is never sent to an AI model.
  • Sub-processors: it is stored with our hosting provider, Railway, and the code email and the policy-signing emails to your staff are sent through Resend. You authorise both. We list every sub-processor in our Privacy Policy and will update that list before adding one that would handle this data; you may object, and if we cannot resolve it you may end your cover.
  • If something goes wrong: we will tell you without undue delay, and within 48 hours of becoming aware, of any breach affecting this data, with what we know, so you can meet your own duty to report it.
  • Helping you: we will help you answer requests from the people concerned, and give you the information you reasonably need to show you meet your obligations, including for an audit.
  • At the end: when your cover ends and is not renewed, we delete this data 30 days later, unless the law requires us to keep it. You can download your documents at any time before then.
  • Your part: you need a lawful basis to record your staff on the dashboard, and you should tell them you do. Do not put your clients' or customers' names or details in incident notes, or any special category data such as health information.

7. Intellectual Property

The Ops Intel platform, including its design, code, trademarks, and content, is owned by Ops Intel. Your subscription grants you a limited, non-exclusive, non-transferable right to access and use the Service for your internal business purposes only.

Documents we write for you. Your AI Policy and your AI Compliance Framework, including every update we send, are licensed to the business named at checkout, for that business's own use. You may copy, adapt and share them inside your business and with your own advisers, auditors, insurers and regulators. You may not sell, resell, license or pass them to another business, or use them as the basis for another business's policy or framework, without our written agreement. Copyright in them stays with Ops Intel.

8. Third-Party Integrations

The Service integrates with third-party services (Stripe, Resend, Meta, Google, Notion). Your use of those integrations is subject to the respective third parties' terms and privacy policies. We are not responsible for the acts or omissions of third-party services.

9. Service Availability

We aim for high availability but do not guarantee uninterrupted access. We may perform scheduled maintenance and will endeavour to provide advance notice. We are not liable for service interruptions beyond our reasonable control.

10. Limitation of Liability

To the maximum extent permitted by law, Ops Intel shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or loss of profits, revenue, data, or business arising out of or related to your use of the Service.

Our total liability to you for any claim shall not exceed the amount you paid us in the 12 months preceding the claim.

11. Indemnification

You agree to indemnify and hold harmless Ops Intel and its officers, employees, and agents from any claims, damages, or expenses (including reasonable legal fees) arising from your use of the Service or violation of these Terms.

12. Termination

You may cancel your subscription at any time. We may suspend or terminate your account immediately if you breach these Terms. Upon termination, your right to use the Service ceases. We will retain your data for 30 days after termination before deletion.

13. Changes to Terms

We may revise these Terms at any time. Material changes will be notified by email or prominent notice at least 14 days before they take effect. Continued use of the Service after changes constitute acceptance of the revised Terms.

14. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
